What's New in the Latest iMIS EMS Upgrades

Here are some of the updates that I’m excited about:

🔊 Simplified campaign management

When creating simple campaigns, a new campaign setting hides appeals and solicitations so users can focus on defining the campaign and working with source codes. Appeals and solicitations are still created automatically upon saving a new simple campaign but are not visible and cannot be edited.

Key features

• Replaces the Appeals tab with the Source code tab when defining a simple campaign.
• Automatically generates appeal and solicitation records that are not visible when a new campaign is created and saved.
• View all source codes for a campaign in a single list, even across multiple appeals and solicitations that are not visible.

Key use cases

• Campaign managers who prefer to work with simplified and streamlined campaign creation.
• Organizations importing source codes from external partners can add them directly to a campaign without pre-creating appeals or solicitations.
• Users used to simpler campaign tools can get started without needing to work with the full, four-tier campaign structure.

⚙️ Automated data retention policy enforcement

A new Data retention settings page is available under Settings > Data retention, giving system administrators control over how long specific categories of data are kept in iMIS. Each category can be enabled independently.

Additionally, process automation log retention settings are now located on this page from their previous location at Settings > RiSE > Process automation.

Key features

• Configure retention rules independently for communication logs, contacts change logs, archived content versions, and process automation logs.
• Enable or disable retention rules per category as needed.
• Process automation log retention fields are now drop-down lists with predefined options, replacing the previous text fields.

Key use cases

• Reduce database size by automatically removing aged logs and archived content that are no longer needed.
• Support compliance with legal, regulatory, or internal data retention policies by configuring minimum retention periods for financial and contact data.
• Manage the full content version history lifecycle, from retaining all saves within a defined window to pruning to a single daily version as content ages.

📆 Simplified email scheduling

Users licensed for Process Automation can set up one-time, daily, weekly, or monthly delivery schedules directly when creating communications, without needing to separately create a Process Automation task.

Key Features

• Schedule communications for daily, weekly, or monthly recurring delivery from a communication template.
• Set one-time delivery for communications that only need to be sent once at a future date and time.
• A new Process Automation system task (Purge expired tasks) automatically runs in the background that cleans up expired scheduled tasks created by the Communication Creator. It is always active and cannot be edited or disabled.

Key use cases

• Marketing staff users can set up recurring member newsletters or event reminders directly when sending, without switching to process automation to create a separate task.
• Staff users sending a one-time future announcement can schedule delivery at a specific time and date in the future instead of needing to create it the moment it needs to be sent.

Recording and managing invoice credits

Key features

• A new Record a credit page under Finance for selecting a contact and product and entering a negative credit amount.
• Supports transaction options including batch selection, transaction date override, order type, and source code.
• Includes an option to suppress the order confirmation email sent to the contact.
• Recorded credits can be adjusted or removed from the Invoice detail screen.

Key use cases

• Granting a contact a credit — issue a credit for an overpayment, billing error, or goodwill/customer service resolution.
• Applying a credit toward a future purchase or renewal — record the credit now so it is available to offset an upcoming invoice.
• Backdating a credit for accurate reporting — use the transaction date override so the credit lands in the correct accounting period, regardless of when it was entered.
• Issuing a credit without notifying the contact — suppress the confirmation email for internal adjustments, bulk corrections, or credits the contact should not be alerted to yet.
• Correcting a recorded credit — adjust or remove a credit directly from the Invoice detail screen if the amount was entered incorrectly or is no longer needed.

Improved privacy policy and cookie consent configuration

The cookie consent banner and Cookie Preferences dialog now provide clearer, automatically translated policy information for website visitors, along with a renamed configuration field that makes it easier for staff users to link to their organization's own privacy policy.

Key features

• The cookie consent banner message and its policy link labels are now automatically translated when a visitor views the staff site or a public RiSE website in a supported non-default language.
• The Cookie Preferences dialog (opened via Customize on the consent banner) now displays two clearly distinguished policy links: the organization's own Our Privacy Policy, followed by Our Website Provider's Cookie Policy, which opens the ASI-maintained iMIS Cookie Policy and cannot be configured by staff users.
• The Full policy content or URL field, on the Scripts tab of a RiSE website's options, has been renamed to Privacy policy URL or content path for clarity.
• The cookie consent banner's Learn More link is now labeled Learn More - Privacy and Cookie Policy, and only appears when the Privacy policy URL or content path field is configured.

Key use cases

• Meeting multi-language compliance requirements — present cookie consent and policy information in a visitor's language automatically, without maintaining separate translated banner content.
• Clearly separating organizational and vendor policies — give visitors an obvious distinction between the organization's own privacy policy and the cookie policy maintained by ASI, reducing confusion and support questions.
• Linking to a custom privacy policy — point the renamed Privacy policy URL or content path field to a custom copy of the out-of-the-box Cookie Policy content record, or to an external URL, so visitors always see the organization's current policy.
• Keeping the banner uncluttered when no policy is configured — the Learn More link only appears once a policy source is set, so sites that have not configured one are not shown a broken or irrelevant link.

Other enhancements

• Stripe Direct Debit support for persisted cash invoices - Stripe Direct Debit now supports persisted cash invoices. Stripe Direct Debit continues to work with all accrual invoices.
• ​Improved warnings for "Only display unique results" option - When enabling the Only display unique results option in an IQA query, a warning prompt now appears requesting confirmation. Once confirmed, a persistent warning is also displayed in the Display tab, making it easier to identify queries where this setting is active.
• Configuring the gift request status - Staff users can now define custom gift request statuses by adding rows to the STATUS_REQUEST general lookup table.
• ​New BillingMemberType property for CsInvoice - A new property, BillingMemberType, has been added to the CsInvoice business object, containing the contact's member type on dues invoices.
• Improved privacy support for cookie consent banner - When a user visits a RiSE site with Do Not Track (DNT) or Global Privacy Control (GPC) enabled in their browser, the site now suppresses the cookie banner and disables all non-essential cookies automatically.
• Enhancement to Campaigns - The following enhancements have been made to Campaigns for improved clarity and consistency:
  • The Summary tab on the campaign overview has been renamed to Dashboard.
  • Campaign information has been reorganized with updated visuals.
  • The Last Response Date field label changed to Response cutoff date.
  • Source Code Id Mode now defaults to Manually-Assigned instead of Auto-Assigned.
  • Other minor formatting updates.
